Qb Care LLC is seeking a motivated Administrative Assistant to support the Director and work closely with a variety of team members. The successful candidate must demonstrate excellent administration and teamwork skills, resourcefulness, the ability to work effectively within a matrixed organization, be highly organized, detail-oriented, must be able to operate under limited supervision and have a positive attitude and approachable personality.

Responsibilities

Assist Director with calendar management, travel, and expense reporting
Assist managers within Team with meeting and event planning and coordination
Travel reservations both domestic and international
Expense reporting and monthly corporate card reconciliation
Handle both domestic and international computer equipment and software license procurement
Assist Managers with interview arrangements for new staff and on-/off-boarding support as necessary
Assist with communication and information management, such as preparing email correspondence and managing communication channels (Microsoft Teams, SharePoint, etc.).
Facility liaison for team locations
Act as the Team focal point for queries regarding Human Resources (HR) and related tools as requested
Assist with confidential management of HR-related activities, such as headcount tracking, recruiting/hiring, organization changes, etc.
Help with budgeting and spend tracking, such as salary, training, recognition, intern, equipment, etc.
Assist in managing Consultant/Contractor relationships, e.g. creating/liaison with Procurement to arrange legal contracts, approve invoices, and track spending.
May assist with various special projects assisting professionals within and across departments

Requirements

Bachelor’s degree and 3-5 years of work experience (preferred) OR Minimum of 8 years in an administrative role
Ability to work independently and collaboratively within a technology-oriented environment
Strong verbal and written communication skills and ability to juggle priorities and diverse workload
Ability to work in an environment with changing priorities
Highly detail oriented, self-disciplined, experienced in multi-tasking and ability to operate with limited direction to resolve issues
Diplomacy and tact to deal with varied personalities
Proven experience and capability with Microsoft Office (Microsoft online/0365 preferred)
